It is a requirement of the NMC Code, the IBCLC Code of Ethics and our insurance provider that we keep clear and accurate records of our practice. This information must be securely stored. Collecting this information will enable us to ensure we can contact you as part of providing safe and effective care.

We collect or use the following information to provide a service:

  • Names and contact details
  • Addresses
  • Date of birth
  • Records of appointment discussions and decisions
  • Information relating to compliments or complaints
  • Communication including emails and messages that have been sent
  • Photographs or video recordings may be taken as part of a consultation for patient records. We will gain written consent to use these photos for training purposes or promotional activities


For the purpose of research and audit we may, without notice, use your babies anonymised data.

    providers

How long we keep information

Kent Tongue-Tie Professionals are required to retain records for a period of at least five years from the date of treatment and, in the case of a
minor, for a period of at least five years after that minor attains majority.

  • We will share details of a procedure with your GP. This will be in the form of a letter for you to pass to your GP
  • On occasions, with your consent, we may need to share information with midwives, health visitors or other healthcare professionals to enhance care or to ask for further support
  • In the event of safeguarding concerns, we have a professional and legal duty to share relevant information with other organisations for the safety of you or your baby
  • Our insurance company in the event of a claim
  • Emergency services (where necessary)

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal data.

Your right to rectification – You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal data in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal data in certain circumstances.

Your right to object to processing – You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.

Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent.

You don’t usually need to pay a fee to exercise your rights. If you make a request, we have one calendar month to respond to you.
